To ensure 7STAR TRAVELS operates with professionalism and maintains a high level of trust with its clients, here are formal policies tailored for your visa consultancy services. These policies cover standard operations, financial transparency, and ethical conduct.
1. Professional Code of Conduct
All consultants at 7STAR TRAVELS must adhere to the following ethical standards:
* Integrity: Provide honest assessments of a client’s visa eligibility. We do not provide false hope or guarantee visa approvals, as the final decision rests solely with the respective embassies.
* Transparency: Clearly explain the visa process, required documentation, and all associated costs (service fees vs. embassy fees) at the start of the engagement.
* Anti-Fraud Policy: 7STAR TRAVELS maintains a zero-tolerance policy toward the submission of forged or fraudulent documents. Any client attempting to provide fake documents will have their contract terminated immediately without a refund.
2. Client Service Level Agreement (SLA)
To manage expectations, we define the following service boundaries:
* Document Review: We will review all client documents within 2-3 business days of receipt.
* Application Submission: Once all required documents are finalized and fees are paid, applications will be submitted to the relevant portal/embassy within 48 hours.
* Status Updates: Consultants are required to provide a weekly update to the client regarding their application status, even if there is no change from the embassy.
3. Payment & Refund Policy
Financial clarity is essential to prevent disputes.
* Service Fees: Our professional service fees cover administrative costs, consultation, and document preparation. These fees are non-refundable once the document preparation process has begun.
* Embassy Fees: These are paid directly to the government/embassy. 7STAR TRAVELS is not responsible for these funds, and they are generally non-refundable as per embassy rules.
* Partial Refunds: A 50% refund of the service fee may be considered only if the application has not yet been submitted to the embassy and the client chooses to withdraw for personal reasons.
* Rejection Policy: In the event of a visa rejection, our service fee is not refundable, as the work performed remains the same. However, we may offer a discounted rate for a re-application or appeal.
4. Data Protection & Privacy Policy
As we handle sensitive personal information (passports, financial statements, etc.), the following rules apply:
* Confidentiality: All client information is strictly confidential and will only be shared with the relevant government authorities or authorized third parties (like VFS Global).
* Secure Storage: Physical documents must be kept in locked filing cabinets. Digital copies must be stored in encrypted folders or secure cloud storage.
* Data Disposal: Upon completion of the visa process and a 6-month retention period (for legal records), all non-essential personal documents will be securely shredded or deleted.
5. Client Responsibilities
For a successful application, the client agrees to:
* Timeliness: Provide all requested documents within the time frame specified by the consultant.
* Accuracy: Ensure all information provided in questionnaires and forms is 100% accurate and matches their official records.
* Direct Communication: Inform the consultant immediately of any changes in their travel plans, employment status, or contact details.
